If you're responsible for ordering commercial lighting—whether you're a facility manager, electrician, or purchasing agent—you know the drill. A fixture fails. Tenants are waiting. The quote needs to go out today.

I've been managing lighting procurement for a 75-person commercial real estate firm for the past six years. We spend about $120,000 annually on fixtures, replacement parts, and controls. I've negotiated with 40+ vendors and documented 300+ orders in our cost tracking system. And I've made enough mistakes to build a checklist that tracks every single one of them.

Here's what I run before every Acuity Brands lighting order. Seven points, in order.

Step 1: Read the fixture label, not the catalog page

When I first started ordering lighting parts, I assumed the catalog part number was all I needed. It wasn't. Two wrong orders later—including a $300 DTL photocontrol that arrived with the wrong connector—I learned to check the physical label on the fixture itself.

The label tells you three things the catalog page often doesn't: the exact fixture model, the driver or ballast part number, and the control type. If you're replacing a DTL dark-to-light photocontrol, the label shows which fixture family it's paired with. The catalog page might show a whole family of controls that look identical but are not.

Compatibility. Non-negotiable.

Checkpoint: Write down the full model number, including suffixes. "DTL-100" and "DTL-100-UR" are not the same part.

Step 2: Verify electrical specs against your system

Replacement parts need to physically fit. They also need to match your power supply, drivers, and controls.

Before ordering, confirm:

  • Input voltage and phase—120V vs. 277V trips people up all the time
  • Driver output current and dimming protocol (0-10V, DALI, or switch dim)
  • Photocontrol receptacle type (twist-lock vs. custom connector)

I learned this when I ordered 12 LED drivers for two office floors and missed that our system uses 0-10V dimming while the drivers were DALI-only. The parts were special order and couldn't be returned. That mistake cost us $540 plus a three-week project delay. Expensive lesson.

Step 3: Confirm which factory location is fulfilling the order

Acuity Brands has manufacturing facilities in Crawfordsville, Indiana; Conyers, Georgia; and a plant in Canada. Not every product comes from every location.

When you order, ask your distributor which location will actually build or ship the item. Lead times vary significantly. In my experience, standard fixtures out of Crawfordsville run 7–14 business days. Some controls from Conyers take 3–4 weeks. Honestly, I'm not sure why the variance is so wide—my best guess is component sourcing and line capacity at each plant. But the takeaway is simple: confirm before you promise a date to your client.

Checkpoint: If the project has a hard move-in date, confirm the ship date before confirming the PO. Don't rely on the generic lead time on the product page.

Step 4: Compare repair vs. replace on total cost, not part price

The part costs less than a new fixture. That's obvious. The total cost of repairing vs. replacing is the number that actually matters.

Run this calculation:

Part cost + labor + downtime + risk of repeat failure
vs.
New fixture cost − rebates − energy savings

We replaced drivers in six aging LED panels one at a time as they failed, spending roughly $380 per fixture on parts and labor. After the fourth repair, I did the full math and found a new fixture with a longer warranty would have been $340, plus better efficiency. Looking back, I should have replaced all six from the start. At the time, repairing seemed like the conservative budget choice. It wasn't.

Do the math before you order, not after.

Step 5: Know the quirks of what you're buying

Acuity Brands covers a wide range of lighting categories, and each one has its own details that affect ordering.

Track lighting

Check the track type. H, J, and L track—named after their manufacturer origins—are the most common geometries, and they're not interchangeable. A track head built for H-track won't click into a J-track. Also verify line voltage vs. low voltage, and if you're extending an existing run, match the finish as well as the mechanical fit.

Glass chandeliers

If you're ordering a glass chandelier—or replacement glass shades—freight is where the surprises hide. We bought a chandelier for a lobby refresh last fall: $1,400 fixture, $220 freight. Actually, I think the fixture was $1,650 and the freight $180. I'd have to check our system. Either way, the freight was a significant addition I hadn't planned for.

Trust me on this one: order an extra shade or two. Glass breaks in transit. It's not if—it's how often. A recent project arrived with three of eight shades cracked. We had spares, so the install continued.

Grow lights for indoor plants

Horticultural lighting is a different spec game entirely. The numbers that matter are PPF (photosynthetic photon flux), spectrum, and coverage area. A 40-watt grow light typically covers a 2x2 foot space for low-light plants. High-light plants might need a 100W fixture for the same area.

Mounting height matters just as much. Hang the fixture too far from the canopy and plants stretch toward the light. Hang it too close and the leaves bleach. Acuity Brands' spec sheets include coverage tables—use them to match the fixture to the actual growing area. And for commercial settings, verify the UL listing matches your environment. Damp-rated fixtures make sense in greenhouses.

Step 6: Get freight and handling costs upfront

The quoted fixture price is never the final price. Not for lighting, not for anything.

Before you submit a PO, ask for:

  • Freight quote—commercial vs. residential delivery changes the rate
  • Special handling fees for glass or oversized items
  • Minimum order surcharges
  • Restocking fees in case you have to return something

A vendor once quoted me $8,400 for a mixed order of fixtures and controls. The price was great. Then the freight quote came in at $790, making the total nearly 10% higher than the quoted product price. The order still made sense—but I needed the full number to know that.

Step 7: Decide OEM vs. compatible parts

Third-party replacement parts are usually cheaper—sometimes 20–40% below OEM. That doesn't mean they're the wrong choice. For a simple lens or bracket, a compatible part can be fine. For anything that affects safety, performance, or warranty coverage, stick with OEM. Photocontrols and drivers fall into this category.

Not every decision needs to be justified to the accounting department. But every decision should be intentional.

Two more things before you finalize the order

First: confirm whether your distributor actually stocks Acuity Brands products or is special-ordering them. If it's a special order, returns are often off the table, and lead times stretch beyond the product page estimate.

Second: check the warranty. Most Acuity Brands fixtures carry a 5-year limited warranty, but replacement parts may have different terms. If the part that failed is still covered, file a claim before buying a replacement.

Common mistakes I've made so you don't have to

Ordering from memory. I did it once. It cost me $45 in restocking fees. Read the label.

Trusting the lead time on the product page. The page says "ships in 3 days." The actual build location says 4 weeks. Confirm the ship date.

Ignoring the electrical spec. Mechanically compatible is not the same as electrically compatible.

Going with the cheapest quote without calculating total cost. The part was $80. Freight was $60. Restocking fee $35. The "cheap" part became a $175 problem.

That's the list. Run it before your next order, and you'll avoid the mistakes I've already made for you.
