I've managed lighting procurement for a 400-person facilities company for six years. That's roughly $180,000 in lighting spend and too many invoices to count. This checklist is the one I actually use when an order has to go out and I don't have time to test every product myself.
Before we start, one honesty point: I don't know everything about luminaire optics or driver electronics. I know purchasing. And I've learned that admitting the boundary gets me better answers from vendors than pretending I know it all.
Use this checklist when you're ordering LED fixtures, photocontrols, replacement parts, or wireless controls. It will take about 20 minutes per product family. Or thirty, if the vendor puts you on hold.
When This Checklist Applies
This works for:
- Commercial or industrial LED fixture orders
- Photocontrol and sensor retrofit projects
- Replacement parts for existing fixtures
- Accessory orders where the vendor says 'it should fit' — those are the risky ones
If the project is a simple residential swap, you probably don't need all this. But if it's for a building you can't afford to shut down twice, keep reading.
Step 1: Search the Right Name, Then Verify the SKU
When I put 'Acuity-Brands' in our supplier catalog, I get a broad list. That's the starting point, not the answer. The actual product could be an Acuity Brands fixture, a control component, or a replacement driver from a specific line. The manufacturer name is just the beginning.
For example, don't order 'photocontrol.' Order the exact catalog number and include the product family name. If you need the control to switch on at darkness and off at daylight, write 'DTL dark to light Acuity Brands photocontrols' on the PO. That phrase forces the vendor to check the control's operating range instead of sending a generic sensor.
Step 2: Check Replacement Sources and Manufacturing Location
When ordering replacement parts, ask where the product ships from and whether the part is sourced from the original manufacturer. A replacement label that reads 'Acuity Brands Lighting, Inc. Crawfordsville, Indiana' tells me the part came through a known Acuity Brands Lighting, Inc. Crawfordsville facility. That's a good sign, but it isn't a guarantee of fit. Check the revision level and voltage rating too.
I once assumed a 'compatible' driver from an unrelated seller would match our fixture. It didn't. The connector was different. The vendor accepted the return, but the install crew billed us for two hours. That $40 driver ended up costing around $190.
Step 3: Do the CFL Bulb vs LED Math in Your Actual Building
I don't make blanket claims about energy savings, because the numbers depend on hours, utility rate, and temperature. But the decision does require a direct comparison. Take a look at the CFL bulb vs LED question with your own run hours.
For a lobby lamp on 200 hours a year, the LED premium might not pay back quickly. For a security light that runs from dusk to dawn, the math usually favors LED. According to the U.S. Department of Energy (energy.gov), LED package efficacy typically beats CFL, but the correct comparison is for the specific product at the same light output. Don't compare wattages without checking lumens.
A DTL photocontrol can change those numbers too. If the control's sensitivity is set too low, the lights run longer than they should. That's not a fixture problem; it's a spec problem.
Step 4: Confirm Controls Compatibility — Especially Zigbee Radio
Here's where my process gets annoying, and for good reason. I only believed the 'check the communication protocol' advice after ignoring it once and watching 80 wireless sensors fail to join the lighting system.
If your controls use wireless communication, do not just check for a Zigbee radio. A Zigbee radio is the radio layer, not the whole protocol. The device also has to support the same Zigbee application profile and security layer. According to the Connectivity Standards Alliance (csa-iot.org), devices that are Zigbee-certified under the same standard are more likely to interoperate, but certification alone doesn't mean every feature matches. Check the manufacturer's compatibility list, not the marketing sheet.
The same applies to DTL dark to light Acuity Brands photocontrols when they're connected to a central system. Confirm whether the control is a standalone line-voltage switch or a low-voltage input that talks to the controller. If the connector fits but the wiring signal doesn't, you'll have lights that don't respond to building automation. (Unpleasant, I know from experience.)
Step 5: Account for Fit and Installation Before You Say 'Ship It'
Not every mistake is high-tech. A facility manager asked me to get a replacement shade for a Lowes chandelier in the breakroom. The part looked correct online. The diameter was right. So before you approve a replacement part, check the mounting dimensions, drilling pattern, and mechanical interface. If the part doesn't have a drawing or dimension chart, ask for one. We didn't have a formal check step for this. After the chandelier incident, we added it to the workflow.
Step 6: Ask What the Vendor Won't Support
The vendor who says 'this isn't our strength' earns my trust for everything else.
That's not a soft skill thing. It's a practical procurement filter. If a distributor says they can sell you the fixture, the sensor, and the wiring, but the rep hesitates when you ask about the Zigbee network, that hesitation is information.
When I ask a vendor for an application engineer and they respond with 'we only stock it, we don't design it', that's fine. I'll call Acuity Brands Lighting, Inc. Crawfordsville directly or route through their technical support. The vendor who admits the boundary is more reliable than the one who says 'we do everything.'
Notes: The Mistakes That Show Up Later
These are the things I want done differently if I could go back:
- Don't assume a part number is current. Manufacturers revise products. The 'same' SKU from two years ago may have a new code or a different housing.
- Don't ignore lead time. I want to say most DTL photocontrols we order arrive in 5 to 10 business days, but supply chain changes monthly. Confirm before the budget deadline, not after.
- Price is not total cost. Shipping, restocking fees, and emergency labor count. A part that costs $10 more could save $200 in install time if it's the correct fit.
- Get compatibility in writing. If a vendor tells you a Zigbee sensor will work with your controller, ask them to put it in an email. If they won't, that's your answer.
This checklist isn't about being perfect. It's about being less wrong. The first time I skipped the control spec verification, the PO was approved and the lights never turned off at sunrise. After that, I stopped treating 'it should work' as a technical specification.
